At Paul Quinn College, we’re excited to host events that bring our community together and showcase the vibrant spirit of our campus. Whether you’re planning a meeting, a celebration, or a large-scale gathering, we’re here to help make your event a success.

Below, you’ll find all the details you need to host your event at Paul Quinn College, including how to get started, our policies, and helpful guidelines.

Planning & Hosting Your Event:

  • Timing:
    • For events requiring services (parking, catering, security, AV, or special setups): Submit your request at least 14 business days before your event.
    • For events not requiring services:
      • College-sponsored events: Submit at least 7 business days in advance.
      • External events: Submit at least 10 business days in advance.
  • How to Submit:

Once your request is approved, you’ll need to:

  1. Provide a Certificate of Insurance as outlined in the Facilities Use Toolkit.
  2. Complete a Release of Liability, Assumption of Risk & Indemnity Agreement form:
  1. Submit these documents to events@pqc.edu with the subject line:
    “EVENT DOCUMENTS: [Approved Event Date]”.

Important: Your event is not officially scheduled until all documents are received.

Fees for external events are determined based on space usage, duration, and requested services. After your event request is approved, you’ll receive a detailed estimate outlining all associated costs.

Individuals and/or organizations (external and those seeking in-kind services/usage) interested in hosting an event and/or using Paul Quinn College campus facilities are required to abide by the procedures outlined below.

Safety & Compliance

  • Events must be held in a safe environment:
    • Security requirements (DPD Officers and/or Campus Security Officers) will be communicated based on the size, type, and location of your event.
    • All spaces have maximum occupancy limits that must be adhered to and may not be exceeded.
  • Activities are limited to the reserved spaces. Unoccupied areas may not be used without prior approval.
  • Furnishings and equipment must remain in their designated setup unless specifically approved.

Respecting College Property

  • All event hosts must respect College property and adhere to local sound ordinances and College policies.
  • Use of the College’s photos, likeness, logos, or marks in publications or online requires prior approval.
  • Defacing or covering College property is strictly prohibited.

Policy Adherence

College-affiliated individuals (students, faculty, staff) are expected to comply with all policies outlined in the Student and Employee Handbooks. Non-compliance may result in the loss of facility usage privileges.

Effective January 1, 2025: To ensure the safety, security, and overall experience of all attendees, Paul Quinn College has implemented the following policies for athletic events and large campus events, including but not limited to Homecoming, Founders’ Day, Dallas Symphony Orchestra (DSO) performances, and Graduation.

Clear Bag Policy
All guests attending athletic events and large campus events are required to adhere to the Clear Bag Policy. Only the following types of bags are permitted:

  • Clear plastic, vinyl, or PVC bags not exceeding 12″ x 6″ x 12″.
  • Small clutch bags (approximately the size of a hand), with or without a handle or strap, may be carried. These bags must not exceed 4.5″ x 6.5″ and are subject to inspection.

Prohibited Items:

  • Backpacks, fanny packs, large purses, and oversized tote bags.

Exceptions:
Diaper bags and medically necessary items will be permitted after proper inspection at designated entry points.

No Outside Food Policy

To enhance the event experience and ensure the safety of all attendees, outside food and beverages are prohibited at all Paul Quinn College sporting events.

  • Concessions will be available for purchase inside the venue during events.
  • Reusable water bottles and containers are allowed but must be empty upon entry and may only be filled at designated stations inside the venue.

Exceptions:
Medically required dietary items are allowed upon proper notification to event staff or security personnel.

Enforcement and Compliance

To ensure smooth implementation of these policies:

  • Security staff and event personnel will conduct bag checks and enforce food restrictions at all venue entrances.
  • Guests who do not comply with these policies may be denied entry or asked to return prohibited items to their vehicles.
